Sales & purchase orders

Raise sales and purchase orders, track them open→fulfilled, and convert a completed order into an invoice or a bill in one tap — kept out of your books until you do.

An order is what you agree before the money moves: a sales order is a customer's confirmed request to buy, a purchase order is what you send a supplier. Finocket tracks both, shows what's still open, and converts a completed order into an invoice or bill in one tap — orders stay out of your books, GST and stock until then.

Why orders are kept out of your books

An open sales order is not a sale — so it never appears in your income, GST returns, receivables or stock. An open purchase order isn't an expense. Only when you Convert does the real document get created, so nothing is ever counted twice.

Raise an order

  1. Open Orders — sales orders and purchase orders sit on their own tabs.
  2. Choose New sales order or New purchase order.
  3. Pick the customer (SO) or type the supplier (PO), set the order date and an optional expected date.
  4. Add line items — pick from your catalog to fill description and rate, set quantities; totals add up as you go.
  5. Save. Each order numbers on its own series (SO-0001, PO-0001).

Track what's open

The register lists your orders with a status — open, fulfilled or cancelled — so you can see at a glance what's still to be delivered or received.

Convert an order

When a sales order is ready to bill, tap Convert to invoice: Finocket creates a draft invoice for that customer with the same line items and marks the order fulfilled, linked to the invoice. A purchase order converts the same way into an expense (bill) for the order total. An order converts only once — you can never accidentally bill it twice.

Access & control

Owners and assistants raise and convert orders; an invited accountant sees the register read-only. Orders is a module — turn it on under Profile → Modules if the screen isn't in your nav.

Frequently asked questions

What's the difference between a sales order and an invoice?

A sales order is the agreement to supply; the invoice is the tax document that records the sale. In Finocket the order carries no GST or income effect — converting it creates the invoice that does.

Does a purchase order affect my GST or expenses?

No. A PO is just your commitment to buy. Only when you convert it into a bill does the expense (and any ITC on it) enter your books.

Can I convert an order twice by mistake?

No — conversion is one-time. The order marks fulfilled and stays linked to the invoice or bill it produced.

Do orders reduce my stock?

No. Stock moves when the converted invoice (a real sale) or recorded purchase happens, not when the order is raised.
